PrepayIT
Do you want to avoid unexpected IT costs?
The purpose of PrepayIT is to help you keep
a better grip on your IT spending and assist
you in your budgeting.
How it works: In consultation with EastHarbourIT
staff you determine how many hours work
per month you think your business will require
to cover any ad-hoc and reactive work performed
by EastHarbourIT. Any work carried out in
the month following payment of the PrepayIT
fee, would then be performed up to the maximum
of hours paid. Any work that is required
to be performed that would exceed the monthly
labour total and/or the current PrepayIT
balance would be performed and the hours
from this would be deducted from your next
PrepayIT payment.
At the end of the calendar month following
payment of the PrepayIT fee, should there
be any monies left over, the outstanding
amount would be carried over to the next
month. This allows your prepaid balance
to accumulate and can help buffer any major
reactive jobs and subsequent costs that
may occur in the future.
On a yearly basis (on the anniversary of
your sign-on to PrepayIT) there will be
a 'washup'. Should there be any monies left
from accumulation throughout the year, you
will have the option of having this refunded
to you or you can keep carrying it over
into your next PrepayIT contract year. Should
there be any monies owing to EastHarbourIT
then we would require payment of this amount
by the 20th of the month following invoice.
Throughout the year, we will be in consultation
with you to ensure that should it appear
that there may be an amount owing, that
this is as minimal as possible. This can
be done through increasing your monthly
PrepayIT payment on either a permanent or
temporary basis.
Example
Determined number of hours per month = 8
Month 1
PrepayIT payment to East HarbourIT is the
contracted hourly rate times 8.
This month only 6 hours labour required
so a balance of 2 hours is carried over
to the second month.
Month 2
PrepayIT payment to East HarbourIT is the
contracted hourly rate times 8 but effectively
there are 10 hours of labour available (2
hours carried over from Month 1). This month
8 hours labour required so a balance of
2 hours is carried over to the third month.
Month 3
PrepayIT payment to East HarbourIT is the
contracted hourly rate times 8 but effectively
there is 10 hours of labour available. This
month 12 hours labour required so a negative
balance of 2 hours is carried over to the
fourth month. This means that Month 4 will
have 6 hours available after the PrepayIT
payment.
To ensure your business does not have too
much equity tied up in this system it is
expected that the maximum number of hours
will be limited
MaintainIT
MaintainIT is all about being proactive
in minimising any possible server disruption
while at the same time maximising its performance.
Ensuring the continued integrity of your
Small Business Server is vital to the operation
of your organisation as a whole. The Small
Business Server routes all internet traffic
and email throughout your organisation,
as well as storing company sensitive data,
and must be reliable. Any down time of the
server affects all users, local and remote,
which not only disrupts normal day to day
working but also could result in the organisation
incurring preventable expenses.
The aim of EastHarbourIT is to reduce the
risk of future unnecessary expenditure on
the IT systems of your organisation by implementing
recognised maintenance procedures specific
to the Small Business Server. Ongoing maintenance
will ensure the continued integrity of all
components of the server and to allow all
users the benefit of a reliable IT network
without gradual loss of services.
The following list outlines some of the
recommended maintenance procedures for ensuring
server security and reliability.
- Verify daily data and exchange backup
status, verify backup logs
- Verify free hard disk space on all
drives including exchange database file
size is above 16GB
- Verify the latest Anti Virus pattern
file is installed
- Verify all workstations have the latest
AntiVirus pattern file
- Perform file and exchange mailbox restore
test
- Run Windows and Exchange Updates
- Verify hard disks with ScanDisk
- Reboot Server
- Verify firewall's manufacturer web
site for updates, hotfixes
- Reboot Router/firewall
- Change the local admin password
- Change the Domain Admin password
- Review required tape storage capacity
and age for the next quarter
- Ensure the yearly AntiVirus subscription
is kept up to date
